Clarification & Status Quo
The first step of your gym software migration is simple: we get in touch, review your current setup, and walk you through the migration process. Not all data may be relevant - together, we’ll define exactly which member, class, or payment data you want to migrate to Boxbase.

Data preparation
In this phase of your gym software migration, we extract and transform your existing data to fit Boxbase’s structure. This includes exporting your member, membership, class, payment, and workout data and preparing it for Boxbase.
Data quality check. We will check and verify the exported data. Here we will uncover missing or unaligned data if there is some.
Data requirements. Boxbase requires certain core fields (e.g. member name and email). We’ll verify if all mandatory data is available.
Data mapping. For certain information we will define a data-mapping which is used to transform the source data into the necessary data format required for Boxbase.
Once completed, the data can be imported through an automated process.
Data evaluation
The heart of your gym software migration is importing the prepared dataset into Boxbase.
Our import process is fail-safe, reversible, and designed to handle edge cases without disruption. It can be re-run at any point. Most imports are completed in seconds — even for large gyms.
To ensure that the import is working as expected, we import the prepared data into our test environment. This way we can verify that the import process is done correctly.
Validation
This step lets both sides validate that the gym software migration was 100% accurate.
You’ll get full access to your Boxbase account to confirm that members, workouts, and all other data were transferred properly.

So when does the actual gym software migration happen?
Once everything is verified in the test environment, we agree on a go-live date and complete the migration. We will guide the whole process and ensure that everything is running smoothly.
As soon as the migration is live, Boxbase automatically notifies your members with login instructions. They will receive a welcome email with their login credentials and a link to login.
