Boxbase now connects to bexio

So someone sits down, exports a list, and starts typing the same numbers into the other system by hand. If that sounds familiar, this one is for you: Boxbase now connects directly to bexio.
For those who have not used it, bexio is a Swiss cloud business software for SMEs, owned by Die Mobiliar and used by companies of all sizes across the country. It handles accounting, invoicing, VAT and banking, its invoices carry Swiss QR codes, they reconcile automatically against e-banking, and they support eBill.
🧾 Why we built this
bexio is a well known name in Switzerland. All kinds of Swiss companies run their accounting on it, gyms included, and if your box is one of them, your payments and your books currently live in two separate places.
Closing that gap saves real time. Instead of exporting payments and retyping them into your accounting every month, the two systems stay in step on their own. We would rather support a tool you already use than ask you to change how you do your books.
🔗 What the integration does
Once the box owner connects the account, your Boxbase payments show up in bexio as proper invoices, and their status flows back to Boxbase. The connection is set up one time, securely through bexio, and no bexio credentials are ever stored in Boxbase.
Here is what happens after that:
- A payment in Boxbase creates an invoice in bexio on its billing date, already issued with a real document number
- The member is created once as a contact in bexio, then reused for every invoice after that
- Invoices are always issued in Swiss francs
🔀 Two ways to run it
This is the part worth slowing down on. For each payment method you use, you decide how bexio should handle it. This is a choice per payment method, not one global setting, so you can mix and match to fit how you already collect money.
Accounting only
The invoice is created in bexio so your books are complete and your Treuhänder has everything they need. The member is not contacted by bexio at all. Use this when the member is already being billed somewhere else, for example through Stripe, direct debit, or cash at the front desk.
Invoicing
bexio does everything above, and also emails the invoice to the member with a payment link, using a template your box controls. Use this when you want bexio to be the one asking members to pay.
🛒 Not just memberships
This is not only about membership fees. Both membership payments and kiosk payments sync to bexio, so the drink a member grabbed after training ends up in the same place as their monthly plan. Your accounting sees the full picture, not half of it.
🔁 Sync goes both ways
The point of all this is one source of truth, not two lists you have to keep comparing.
- Mark an invoice as paid, cancelled or deleted in bexio, and the payment updates in Boxbase
- Void or delete a payment in Boxbase, and the matching bexio invoice is cancelled
However you touch a payment, both sides stay in agreement.
🎛️ You stay in control
The integration is yours to shape. You can set:
- A master switch to turn automatic sync on or off
- A start date, so payments from before you went live are never duplicated into bexio
- Per payment method: whether it syncs at all, and whether bexio emails the invoice
- A mapping from your Boxbase tax rates to your bexio tax rates
- The invoice email subject and body, with placeholders for member name, invoice number, amount, due date and more
- bexio-side defaults: which bexio user, bank account, revenue account, language and payment term to use
🇨🇭 Availability
The bexio integration is available for gyms in Switzerland. bexio is a Swiss product, invoices are issued in Swiss francs, and the integration is built around that.
🚀 Getting started
You need a Boxbase account and a bexio account, and the box owner connects the two. From there, open the integrations settings in your Boxbase admin, connect bexio, and choose how each payment method should behave.
